Introduction
Managing roles in your Gamma workspace helps you control access and responsibilities across your team. This guide walks you through updating user roles step-by-step.
You can set someone’s role when you invite them, or change it later from the Members tab. This article covers changing the role of someone who’s already in your workspace. To invite a new person as an admin, see ➡️ How can I add users to my workspace?
What is a User Role in Gamma?
User roles in Gamma determine what permissions a workspace member has. Possible roles currently are Admin and Member.
🔷 Note: Only workspace admins can assign or change user roles.
What is a billing admin?
Each paid workspace has one billing admin: the person the subscription is under, usually whoever bought it. Being the billing admin is separate from having the Admin role.
The billing admin can manage the subscription, update the payment method, change the plan, and cancel the renewal.
The billing admin can't leave the workspace or be removed from it.
Only the billing admin sees alerts when a subscription payment fails. Other members are asked to contact the billing admin instead.
How to Update User Roles
Step 1: Access Workspace Settings
From the Gamma dashboard, click the dropdown menu in the upper left corner and select Settings.
Step 2: Open the Members Tab
In the workspace settings, click on the Members tab to view all current members of your workspace. You can filter the member list by Role to quickly find all Admins or all Members. In workspaces with SSO enabled, you’ll also see an Affiliation filter that shows which members sign in through your identity provider.
Step 3: Select and Change the Role
🔷 Note: If you are an admin who uses a password to sign in, you'll be prompted to confirm your email prior to changing the member's role. Admin who use Google or SSO to log into Gamma will not have to complete this confirmation step.
Locate the user whose role you want to update. Under the Role column, click the current role.
A dropdown will appear showing available role options. Choose the desired role, and Gamma will automatically save the update.
To leave your workspace as a member, see ➡️ How can I remove users from my workspace?
FAQs & Common Issues
What roles are available in Gamma?
Roles include Admin and Member.
The billing admin is the person the subscription is under. It isn't a role you choose from the dropdown.
Why don’t I see the option to change roles?
Only users with Admin permissions can update roles. If you don’t see the option, check your current role or ask an Admin to make the change.
I created the workspace or bought the plan. Why aren't I an admin?
Paying for the subscription makes you the billing admin, which is separate from the Admin role.
If you need Admin permissions, ask a current Admin to change your role from the Members tab.
How do I change the billing admin?
Only our support team can change the billing admin, so contact support with your request.
The new billing admin must already be an Admin in the workspace. If they aren't, ask an Admin to change their role first.
For security, we'll email the current billing admin to confirm the change before we make it.
Changing the billing admin only moves control of the subscription. It doesn't change the payment method on file or anyone's access to the workspace or gammas.
What happens if an admin leaves?
A workspace must always have at least one Admin, so the only Admin can't leave until someone else is made an Admin.
The billing admin can't leave or be removed until our support team moves the billing admin to someone else.
Can I make someone an admin before they join my workspace?
Yes. When you invite them, choose Admin as their role and they’ll have admin permissions as soon as they accept. You don’t need to wait for them to create an account first.
Will users be notified if their role is changed?
Currently, Gamma does not send an automatic notification when a role is updated. It’s a good idea to inform your team member manually.
