What are groups in Gamma and how do I use them?

Learn how groups let Enterprise workspaces share folders and gammas with a whole team at once, how to create and manage groups, who can edit them, and what happens to access when people join or leave a group.

Introduction

Groups are named sets of workspace members that make it easy to share with a whole team at once. Instead of adding teammates to a folder or gamma one at a time, you share with the group, and everyone in it gets access. When someone joins or leaves the group, their access updates automatically.

🔷 Note: Creating and editing groups is included with the Enterprise plan. Every active workspace member can see groups, but only Enterprise workspaces can create, edit, or delete them.

What is a group?

A group is a named set of members from your workspace. A few things to know:

  • Groups belong to a single workspace and cannot span workspaces.

  • Only active workspace members can be in a group. People outside your workspace cannot be added.

  • Group names must be unique within the workspace and are not case-sensitive, so "Design" and "design" count as the same name.

  • Each group has a Type badge in the Groups list. Groups you create in Gamma are User-managed, which means they are run by their managers.

Everyone in a group has one of two roles:

  • Manager: Can rename the group, add and remove members, change roles, and delete the group.

  • Member: Belongs to the group and receives whatever access is shared with it, but cannot edit the group.

🌀 Insight: If someone is removed from or deactivated in your workspace, they disappear from every group they were in, stop counting as a manager, and lose any access they had through those groups. Group managers do not need to do anything.

Sharing with a group

Share a folder with a group

  1. Open the folder's share panel.

  2. Search for the group by name.

  3. Choose an access level: Full access, Edit, Comment, or View. These are the same levels you use for people.

Everyone in the group gets that level of access to the folder and everything inside it.

🔷 Note: A folder still needs at least one person with Full access. Giving a group Full access does not satisfy that requirement on its own.

Share a single gamma with a group

In a gamma's share panel, add the group directly and choose Full access, Edit, Comment, or View.

If the gamma lives in a folder that is already shared with the group, the group's row shows as inherited from the folder. You can give the group a higher level on that gamma, but you cannot set it lower than what it inherits from the folder.

Access follows membership automatically

  • Add someone to a group and they immediately get access to everything shared with it.

  • Remove someone and they immediately lose that access.

  • Folder and gamma owners never need to re-share anything.

  • Content someone can only reach through a group shows up in their search results and folder listings like anything else they have access to.

💎 Pro Tip: If someone was just added to a group and still cannot edit a gamma they already had open, have them reload the page. An editor that is already open can take a couple of minutes to pick up the change.

See who is in a group from the share panel

Click a group's name (or the members icon) on its row in a folder or gamma share panel to open its member list.

If you only have View access to a gamma, groups you belong to appear as A group you're in, without the group's name or member list. You will not see groups you are not a member of.

Who can share with a group

Any workspace member with Full access to a folder or gamma can share it with any group in the workspace. You do not have to be a member of the group to share with it.

Managing groups

Go to Settings > Members > Groups. The Groups tab sits alongside Active members, Invitations, and Guests. Every active workspace member can open this tab and see every group and its members. Guests cannot.

The Groups list shows each group's Name, Members (avatars and a count), and Type. You can search by name, sort, and load more.

Create a group

  1. Click Create group in the top right.

  2. Enter a name, for example "Design team", and optionally add members from your workspace.

  3. Click Create group.

The person who creates the group automatically becomes its first Manager. Anyone added at creation is a regular Member.

🔷 Note: You will see an error if the name is empty, longer than 250 characters, or already used in your workspace.

Open a group

Click a group's row to open it. You will see two tabs:

  • Members: The member list with names, emails, a (you) marker, and a Manager badge, plus an Add members search box.

  • Settings: Rename the group.

Managers also see a three-dot menu (…) with Rename and Delete group.

Add members

On the Members tab, type a name or email in Add members and pick the person. Only active workspace members appear. Adding someone who is already in the group does nothing.

Make or remove a manager

Hover over a member's row and click the three-dot menu (…), then choose Make manager or Remove as manager.

🔷 Note: A group must always have at least one manager, so you cannot demote the last one. Promote someone else first.

Remove a member or leave a group

Hover over a member's row and click the three-dot menu (…), then choose Remove from group. On your own row, the option is Leave group. If you are a manager, you can only leave if another manager remains.

Rename a group

On the Settings tab, edit Group name and click Save or press Enter. The same uniqueness and length rules apply as when creating a group.

Delete a group

Open the three-dot menu (…), click Delete group, and confirm.

Deleting a group removes the group, its member list, and every share that pointed at it on folders and gammas. Members keep any access they have individually or through other groups. This cannot be undone.

🌀 Insight: There is no archive or disable option for groups. If you want to retire a group but keep its shares, consider removing members instead of deleting it.

In short, whoever creates a group becomes its manager, and managers can promote other members to manager. Being a workspace admin does not by itself let you edit a group you do not manage.

Groups and your plan

Creating and editing groups requires the Enterprise plan. On other plans, the Groups tab shows a banner reading Groups are included with our Enterprise plan with an Upgrade plan button, and groups open with a Read-only badge.

If your workspace moves off Enterprise, existing groups keep working:

  • The Groups tab and every group and member list stay visible.

  • Everything already shared with a group stays shared. Nobody loses access.

  • In the share panel, you can still change the access level of a group that is already on a folder or gamma, or remove it.

  • You cannot create, rename, edit, or delete groups, and groups no longer appear when you search in the share panel to share something new.

FAQs & Common Issues

I don't see a Groups tab.

  • Guests cannot see the Groups tab. If you are a workspace member and still do not see it, contact support.

The Create group button says Upgrade.

  • Your workspace is not on the Enterprise plan. Existing groups still work, but creating and editing groups requires Enterprise.

I can't add or remove people, or rename the group.

  • Only a group's managers can edit it. Ask a manager to make you a manager.

  • If your workspace is not on Enterprise, groups are read-only.

I can't remove myself from the group, or make someone else a member instead of a manager.

  • You are the group's last manager. Promote another member to manager first.

I see "A group with this name already exists."

  • Group names must be unique within a workspace and are not case-sensitive. Choose a different name.

I added someone to a group but they still can't edit a gamma they have open.

  • Ask them to reload the page. An already-open editor can take up to a couple of minutes to pick up the change.

Someone left our company but still appears in a folder's group.

  • Deactivated workspace members are hidden from groups and lose group access automatically. If they still appear, check that they have actually been deactivated under Settings > Members.

We deleted a group and people lost access.

  • This is expected. Deleting a group removes every share that pointed at it. Re-share the content with individuals or with a new group.

Can I archive a group instead of deleting it?

  • No. Delete is the only option. To keep the shares in place, remove members instead.

Can a gamma be shared with a group at a lower level than its folder?

  • No. Folder access is the minimum. Lower the group's level on the folder, or move the gamma to a different folder.

Can people outside our workspace be in a group?

Can we sync groups from our identity provider?
