How do folder permissions and sharing work?

Introduction

Folders now have their own sharing, just like gammas. You choose who can see each folder: only you, people you specifically invite or your entire workspace. Everything inside a folder inherits its sharing automatically, so you can share a whole project with just your team in one place.

Creating a new folder

Folders live in the left sidebar.

  1. In the left sidebar, find the Folders section.

  2. Click the + (Create folder) button.

  3. Enter a folder name, then click Create folder.

Your new folder starts private to you — share it when you're ready.

Sharing a folder

When you create a folder, you're the only one who can see it. To share it, open the folder, click Share in the top-right corner, and choose who to share it with.

  • People you specifically invite. Add teammates as collaborators, each with their own access level. Only you and they can see the folder — the folder doesn't appear in search or browse for anyone else.

  • The entire workspace. Give everyone in your workspace access to the folder, at the level you choose.

  • Nobody. Don't share it, and the folder stays private to you.

Choosing an access level

Enter your teammates' names, then choose an access level for each person.

  • Full Access. Can do everything: manage access to the folder, rename it, and delete it.

  • Edit. Can add and edit gammas inside the folder. Removing a gamma from the folder also requires Full Access on that gamma (see Moving gammas below).

  • Comment. Can open and comment on the gammas inside.

  • View. Read-only access to the folder and everything in it.

Everyone you add can see the folder in search and browse.

🔷 Note: Only people with Full Access can add or remove collaborators or change a folder's workspace access. People with Edit, Comment, or View access can't reshare the folder.

How sharing works for gammas inside a folder

Everyone with access to a folder automatically gets at least that same access to every gamma inside it. A gamma's own sharing can add to that, but never take it away — when someone has access in more than one way, the highest level wins.

In practice:

  • You can share an individual gamma more widely than its folder — with a person who isn't on the folder, or with the whole workspace — without opening up the folder itself.

  • You can give someone a higher level on one gamma: a person with View access on the folder can have Edit access on a specific gamma.

  • You can't give them a lower one: if the folder gives them Edit access, marking them as View on one gamma won't lower their access.

Moving gammas between folders

Because moving a gamma changes who can access it, every move starts from the same requirement: Full Access on the gamma itself. On top of that, the folders involved add their own checks.

  • Moving a gamma out of a folder requires Full Access on the gamma, plus Edit access on that folder.

  • Moving a gamma into a folder requires Full Access on the gamma, plus Edit access on the destination folder.

Ownerless folders

Some folders have no owner — no one with Full Access. Until someone has Full Access, no one can rename or delete the folder; everything else about it works as before.

Only workspace admins can fix this: click your workspace name in the left sidebar, choose Settings, then open Ownerless folders under Admin only. The page lists every folder without an owner (and is visible only to admins), and from there an admin can grant Full Access to themselves or another member.

Admin controls

On the Enterprise plan, admins can restrict workspace sharing so that only admins can share with the entire workspace — and this includes gammas and folders too. Only admins can change this setting: click your workspace name in the left sidebar, choose Settings, then open Sharing and look for Workspace sharing.

FAQs & Common Issues

Can I add a guest to a folder?

  • No. Guests can't be folder collaborators.

  • To give a guest access to something inside a folder, share that specific gamma with them directly.

I used to be able to add gammas to a folder, but now I can't. Why?

  • Existing folders became view-only in this update, and adding gammas to a folder requires Edit access on it.

  • Ask someone with Full Access on the folder to give you Edit access. If the folder has no owner, ask a workspace admin to assign one from the Ownerless folders page first.

What happened to my existing folders?

  • The short version: no one gained or lost access to any gamma.

  • Existing folders stayed visible to your workspace, keeping the visibility they effectively had before.

  • Folder membership became pinning: a pin keeps a folder in your sidebar but doesn't grant any access on its own. Access comes from the folder's sharing.

  • Every gamma kept its own sharing. If a gamma was shared with your workspace or with specific people before, it still is.

  • Existing folders don't automatically get an owner with Full Access — see Ownerless folders above for how admins assign one.

I can open a gamma, but I can't see the folder it's in. Why?

  • If someone shares a gamma with you directly but you don't have access to its folder, the folder is completely hidden. The gamma simply appears folderless from your view.

  • In the gamma's share panel, you may see collaborators labeled as inherited from a folder you don't have access to. That's expected.

Why can't I move this gamma to another folder?

  • Moving a gamma requires Full Access on the gamma itself, plus Edit access on the folder it's leaving and on the destination folder.

  • If you can't see the folder a gamma lives in, you won't be able to move it at all. You can make a copy into your own folder instead.

My folder doesn't have an owner. How do I get Full Access?

  • Ask a workspace admin. Admins can grant Full Access to themselves or another member from the Ownerless folders page in workspace settings.

Who can delete a folder?

  • Only someone with Full Access, and only when the folder is empty.

  • To delete a folder with content, first remove the gammas inside. Each one falls back to its own sharing, so nothing is lost.

Does sharing a gamma directly still work if that person can't see its folder?

  • Yes. Direct shares on a gamma always work, no matter what happens to the folder's sharing.
